Your sales representative has sent a request to your email, check that it is not in spam. Through that email you will enter your private area on MyEasyfairs.
If you have not received this email, request it again. If you have forgotten your password, click on the”Forgot password?” button.
If you need more people to access the private area, you need to click on “manage user” and then “send request” on your MyEasyfairs.

From Tuesday, November 19 at 15:00 exhibitors will be able to place additional orders at the Operations counter on the Exhibitor Lounge at the ONSITE price (check our catalogue). Orders will be subject to availability of the material and technical possibility of the service and will have to be paid on the moment they recieve the invoice, which you will receive on your email as usual.
The furniture models may be modified by others of similar characteristics depending on the stock.
There is 2 types of structure:
- 3 m structure 280 cm wide x 253 cm high canvas.
- 6 m structure 580 cm wide x 253 cm high canvas.
How should you layout the desing if you ordered a storage room?
- Design the graphic to the full size of the canvas.
- Remember that having a storage room at the back reduces the visible space of the canvas.
- Use a background color for the area covered by the storage room that follows the aesthetics of the rest of the desing.
- Center the graphic in the visible space to avoid side cuts.
- We recommend leaving a 10 cms extra margin of error where the graphic joins the storage room to avoid blank spaces at the point where the structure begins.

The socket integrated in the monophase box is 500 W, enough to connect one or two devices (mobile phone, laptop…).
It is always advisable for exhibitors to order additional sockets to distribute the power of the box according to their needs.
The KWs provided with the participation cover the basic lighting service and the monophase socket.
Calculate the power that the exhibition elements need and remember that the extra power (KWs extra) must be added to the additional box order.
If you need more power than that assigned to your stand, you have to order an electrical box that covers that power and the extra KWs as the box does not include them.
Boxes of 5 Kws or less are monophasic. Those with a power of 10 Kws or more are triphasic.
Under no circumstances will triphasic sockets be connected to monophasic electrical boxes. If you need single-phase sockets in your three-phase electrical box, it is mandatory that you let us know in advance.
It is necessary to confirm the need for special electrical boxes with special sockets if necessary; the price of these may vary from the catalogue.
It is mandatory to use electrical panels ordered with EASYFAIRS for connection to the hall’s electrical network.
The venue has an open WIFI, which you can use to check emails, browse websites or display applications, but we do not recommend it if you need a stable network for the operation of machinery, specific apps, etc. In that case we encourage ordering a WIFI or ADSL landline.
If you need to create your own WIFI network, it is necessary to contact IFEMA for its approval. The information can be found in the regulations.
Additional graphics order includes the printing, placement and removal of the graphics. The design must be sent to us at operaciones@easyfairs.com. More information in this document.
You have the option of ordering the design service of the canvas or any other available graphic with us.
You can consult the assembly schedule in the operations manual in the Easyagenda section. Contact the operations department for any questions regarding your machinery size and what we can do to facilitate its entry.
It is necessary to fill in the following document in case of carrying out welding work during the event, in order to inform IFEMA at the following email stecnica@ifema.es
The positioning of bulky merchandise must be carried out on the day and at the approximate time indicated by Easyfairs once the authorisation document with the information requested has been sent to operaciones@easyfairs.com and the logistics company must be informed in case it is necessary to reserve a time slot.
The basic information we need to know is how the merchandise will be brought down from the transport to the final position on the stand.
- Will a crane be needed inside the hall?
- Will only a forklift with long shovels or over 3.5 T be needed?
The positioning of the exhibition material does not imply that calibrations or function checks can be carried out, as the positioning is that bulky machinery can be brought into the hall and positioned on the stand without the danger of running out of space to operate the vehicles or machine and that there is no danger of accidents or breakage of other exhibitors’ material. Please note that the stand will not have electricity until authorised by the venue on the day and time of assembly.
The assembly and dismantling time cannot be extended and the exhibitor must adhere to the established timetable.
Once the machinery has been positioned, it is possible to work on it for as long as necessary until the day of the event during the established assembly times, in order to assemble it, or to position it properly on the stand.
Packaing or machinery must be removed from aisles and hallways as soon as the merchandise and materials have been unloaded in order to avoid interrupting and speed up the passage of forklift trucks with machinery from other exhibitors or suppliers.
The organisation does not have space for storage; for this you can contact the logistics company operating at IFEMA. The information is available in the operations manual of the operation manual.
The keys to the storerooms and furniture are taped on or in them. If exhibitors leave these keys at the hotel/home, the storage room or counter will be opened without being locked again, and no other keys will be provided.
Under no circumstances are exhibitors allowed to attempt to open a locked cabinet or storage room without the key. Any damage resulting from an attempt to force the lock or door shall be the responsibility of the exhibitor who shall also be liable for the cost of the corresponding repair.
The plastic of the carpet is removed the night before the inauguration by IFEMA’s cleaning staff.
The pedestrian gates to the halls will open approximately 30 minutes after the event closes, and once the security department is sure that there are no more visitors inside the halls.
The gates for forklift access will be opened once the carpet has been removed from the aisles.
The organisation does not have storage space inside the hall. All companies’ material will have to be stored in their stands or else hire the storage service with the company operating in the hall. You may find the contact info on the operations manual.
The storage of exhibitor’s pallets and empty packaging have to be managed directly with DB SCHENKER that has storage space within the enclosure as an IFEMA official supplier. You may find the contact info on the operations manual.
The exhibitor or representatives will have to leave the stand material packed and labelled for collection the following day by their contracted logistics company.
The Organization will not be responsible for any loss or damage to merchandise that does not meet these requirements. Goods not collected after the dismantling period will be removed and stored by IFEMA’s official logistics company at the corresponding cost or discarded with the rest of the waste at a cost of 120 €/m2 of the total exhibition space.
The cleaning included in the stand contract includes the removal of protective plastic before the inauguration and the cleaning of the booth the night of the celebration.
Cleaning is not included if during the event the exhibitor’s waste bin has filled up, or if any liquid or rubbish has fallen on the floor.
The additional cleaning service for the event or for the first construction site must be hired separately. You may send and email to operaciones@easyfairs.com for quotation.
Neither the organisers nor the hall have these means for direct sales or lending.
Vehicle access to the halls is not allowed. Loading and unloading of material must be done in the docks between halls and in compliance with the forklift and pallet truck access regulations in the Exhibitor’s Manual.
During the days of assembly and dismantling, no accreditations are required for the access of the companies’ personnel to the site.
Your pass is the ticket, you only have to cash it in once. With the Smart Badge you will have access to the fair for both days.
If it is the registration email, this is not a problem as it remains in our system for printing the Smart Badge.
If it is the Smart Badge that has been lost, it is not possible to reprint it.
Registration will be inside the halls, just in the entrance.
All people with access to the fair during the days of celebration (exhibitors, visitors, guests, speakers, etc.) will have to be registered online before accessing the event in order to be able to enter and receive their Smart Badge.

From 9:30 to 18:00. on November 20 and 21, 2024
On the exhibitor’s day, November 19, from 12:00 to 19:00, the Easygo team will be in charge of distributing the readers among the stands, as well as providing them with an explanation of how it works and answering any questions they may have.
Depending on the EasyGo package booked you can get 1, 2 or 3 readers.
- Go Leads has 1 reader
- Go Plus has 2 readers
- Go Premium has 3 readers
Readers that are not returned will be charged at a price of 500 €.
In addition, you will not receive the information collected.
The Leads download is available from the MyEasyfairs private area on Friday morning as long as the reader has been delivered the day before.
The visitor will receive an email at the end of the day with a link to your company profile with all the information you have completed in your My Easyfairs.
When you register your staff on MyEasyfairs, each of them will receive an email with a personalized Visit Connect license to use during the event. In that email you will get information on how to activate the license.
Any Easygo package has unlimited Visit Connect licenses.
